We are seeking a Procurement Operations Manager to join our newly forming Procurement Operations team. We are set to go-live with Coupa (P2P) by June 2021. This is an exciting opportunity to help shape the direction of the department and immediately impact the company.

You will report to the Vice President of Strategic Sourcing. You will oversee a team of three (3) Procurement Operations team members and cross-train your team in the following areas:

  • Supplier enablement and catalog management

  • Supplier onboarding, general Coupa help desk, Coupa training

  • Tactical buying, sourcing events, reporting, compliance and contract administration

 

Responsibilities:

  • A high executor of tasks, deliverables, as outlined by P2P Director and VP of Strategic Sourcing

  • Ensure efficient procurement operations

  • Run daily reports on PO status and work with team to resolve, redirect and action

  • Create documentation to further services and growth of department (e.g., Standard Operating Procedures, Playbooks, Service level agreements, Training Materials, FAQ's)

  • Handle escalated Coupa Help Desk tickets to resolution

  • Become a subject matter expert in all modules of Coupa and assist internal customers with performing transactions.

  • Monitor Procurement inbox, slack channel and Coupa

  • Assess 'Buyer Action' requisitions according to Category playbook

  • Build relationships with internal customers and act as a first contact for Coupa or Procurement questions

  • Send supplier business reviews to a pre-defined NYT audience

  • Create Coupa questionnaires for NYT users

  • Perform 'Ultimate Approver' functions

  • Act in the 'Buyer Action' role and follow up with procurement leads on next steps

  • Review non-catalog requisitions for completion, compliance, and potential negotiation opportunities.

  • Engage Departments and seek opportunities for greater efficiency and cost savings

  • Create and maintain Category playbooks

  • Monitor opportunity triggers and report out findings to P2P Director and VP of Strategic Sourcing

  • Work with NYT end-users and AP team to onboard new suppliers

  • Perform spend analytics and reporting for P2P Director and Strategic Sourcing Managers

  • Identify trends in spend for non-catalog suppliers, review data, draw conclusions and present to an executive audience.

  • Review and edit deliverables prepared by others for accuracy and applicability, being final stop before sharing outside the team

  • Identify areas of non-compliance; reiterate and enforce Procurement policy and process for consistency

  • Provide suggestions to newly formed procedures which are efficient and provide additional Value

  • Lead Google Hangouts trainings on complex topics and join NYT department calls as a 'listener to provide perspective afterward'

  • Your will cover for other Procurement Operations team members when they are on PTO or traveling

Basic Qualifications:

  • You're customer service oriented and lead by example

  • You're fair and excel in a diverse team environment with varying opinions

  • Bachelor's Degree in Business, Management, Administration or Supply Chain, preferred

  • Experience working with Coupa is highly desired

  • 5+ years' experience running a Procurement Operations team from the ground up

  • 5+ years' experience with sourcing, including supplier relationship management and performance monitoring

  • Understand when to step into situations, without request, to lead by example, quell conflict, and troubleshoot issues

  • Ability to manage multiple projects at once, at different phases, and adjust to changing priorities

  • Intermediate / Advanced Microsoft excel (can maintain complex spreadsheets) skills

  • Ability to summarize and present data

  • Strong knowledge of procurement and supplier management practices

  • Strong written and verbal communication skills.

  • Comfortable with presenting to groups, leading projects, and operating in matrixed teams.

  • Excellent customer service skills

  • Ability to work under pressure to meet established deadlines

  • Strong organization skills and attention to detail
